Overview

Pleo gives finance teams a way to manage company spending, but for admins, the experience of managing people inside the product had started to fall behind. Inviting members, setting spending limits, reviewing how people used Pleo — none of it was built to handle the scale and complexity of companies with up to 250 employees.

As Pleo moved upmarket, admins needed a clear overview of who was using Pleo in their company and a much easier way to configure and manage people at scale, without the repetitive work that came with doing it one person at a time.

Approach

The original design couldn't stretch to meet the needs of larger companies. We introduced bulk editing so admins could update spending limits, teams and roles across multiple members at once. Member details moved from a modal into a drawer organised across tabs, making each person's setup easier to navigate and act on. Filters for role and team made it easy to find and focus on the right people quickly.

We tracked adoption and usage of the new features closely, and spoke to admins throughout the process. Both the numbers and the conversations confirmed the same thing: admins were getting through their work faster and felt more confident managing their team in Pleo.

Beyond people management, we explored how the bulk edit pattern could be applied to other related areas of the product where the same repetitive configuration problems existed, extending the value of the work further across the experience.

Outcome

Admins could move faster, customise more, and hand off less to customer support. The qualitative and quantitative signals aligned: admins felt more in control, and the iteration landed well. That confidence carried forward, creating a stronger foundation for targeting companies dealing with multi-entity complexity.

What happened next

The scale and depth of this problem space led Pleo to establish a dedicated team in 2021, focused entirely on Admin experience, continuing to expand on these foundations and push further upmarket.
